Troubleshooting Audio Recording Issues

This guide helps troubleshoot (and resolve) common audio issues therapists may encounter while recording session summaries for progress notes.


We know how frustrating it can be when you're all set to record a session summary, and the audio just doesn't cooperate! Or worse, you think you recorded it, but instead, it was just silence. We've made some improvements recently to help you realize there's an issue sooner rather than later, but we also wanted to release a guide to help you resolve your microphone issues.

Below are some common reasons why the audio might not be working, along with tips to get you back on track.


1. Microphone Not Selected or Detected

You’ve hit record, but no sound is coming through? It’s possible your device forgot which microphone to use. Or maybe it’s acting like your microphone doesn’t exist.

Solution:

  • On Desktop (Windows/Mac): Double-check that your microphone is plugged in and recognized by your system. On Windows, head to "Sound Settings" > "Input" and make sure your microphone is selected. On Mac, go to "System Preferences" > "Sound" > "Input" and do the same.
  • In Browser (Chrome, Firefox, Edge): Click the little padlock icon next to the URL in Chrome and ensure microphone permissions are set to "Allow." For other browsers, dig into the settings and grant permission for QuillTherapyNotes.com.

2. Microphone Not Plugged In or Loose Connection

It happens to the best of us — sometimes the microphone just isn’t plugged in all the way, or it's gotten jostled.

Solution:

  • On Desktop/Laptop: Ensure that your microphone is fully plugged into the right port. Unplug it, then re-plug it, and check your system’s audio settings to make sure it’s recognized.
  • On Mobile Devices: Using headphones with a built-in mic? Make sure the connection is tight, or try swapping to a different pair for your recording.

3. Incorrect Input Device Selected

Ever started recording only to realize your device is using your laptop’s tinny built-in mic or your AirPods that are sitting across the room? Yeah, me neither...

Solution:

  • On Windows: Head to "Sound Settings" > "Input" and make sure the right microphone is selected. Bluetooth devices (like AirPods) or wired headphones that you forgot about might be the culprits here. Give them a gentle boot and select the mic you actually want to use!
  • On Mac: Go to "System Preferences" > "Sound" > "Input" and make sure your preferred microphone is chosen. Bluetooth or wired headphones might sneak into the selection, so double-check what is actually selected.
  • On Mobile (iOS/Android): If you’re using AirPods or another Bluetooth device, make sure they aren’t accidentally taking over. You can check in "Settings" > "Bluetooth" (iOS) or "Settings" > "Connections" > "Bluetooth" (Android) to disconnect them if needed. And if you’ve still got wired headphones plugged in, consider giving them the boot and opt for your device's mic instead.

4. Browser Permissions Not Granted

Sometimes it might be a permission issue with your browser.

Solution:

  • On Desktop (Chrome): Click that padlock icon next to the URL and make sure the microphone is set to "Allow."
  • On Mobile (Safari/Chrome): Head to your device settings, look up your browser (Settings > Safari > Microphone), and make sure the browser has microphone permissions for QuillTherapyNotes.com.

5. Microphone Blocked by Another App

Ever had Zoom or Skype hogging your microphone? Typically, only one app can use the mic at a time, so if one is still open and using the mic, Quill (and your browser) won't be able to use it!

Solution:

  • On All Devices: Close any other apps that might be using your microphone (Zoom, Skype, Teams—we’re looking at you). Once they’re out of the way, restart your browser and see if it works now.

6. Hardware Issues with the Microphone

Sometimes it’s not you, it’s the microphone. If it’s not working for your session summary, it might not work anywhere!

Solution:

  • On All Devices: Test your microphone with other apps, like your system’s built-in voice recorder. If it’s not working there either, it’s time to check the hardware. You might need to update the drivers on your desktop, or you could try a different microphone altogether.

7. Muted Microphone

Ah, the classic mute button! It might be on your system, on your microphone itself, or hidden somewhere you forgot about, but if you’re getting no sound, it could be as simple as this.

Solution:

  • On Desktop/Mobile: Check that your microphone isn’t muted in your system’s audio settings. On Windows, head to "Sound Settings" > "Input" to confirm. Some microphones also have a physical mute button — give that a check, too.
  • On External Microphones: Check for any inline mute switches and make sure they're set to "on" so you can record that session summary without an issue.

8. Device Operating System Permissions

Sometimes your operating system decides to restrict microphone access for certain apps—like the one you need to record your client session summaries!

Solution:

  • On Windows: Go to "Privacy Settings" > "Microphone" and make sure microphone access is turned on for apps and browsers.
  • On Mac: Open "System Preferences" > "Security & Privacy" > "Microphone" and make sure your browser is allowed to use the microphone.
  • On Mobile Devices: Head to "Settings" > "Privacy" > "Microphone" (iOS) or "Settings" > "Apps" > [Browser] > "Permissions" (Android) to ensure microphone access is enabled.

9. Background Noise/Interference

It might just be too much background noise or interference drowning you out!

Solution:

  • On All Devices: Move to a quieter area and make sure there’s no interference from fans, air conditioners, or other electronics nearby. If background noise is an issue, consider using a microphone with noise-canceling features to help keep your recording clear for those important progress notes.
